How to count characters in posters and PDFs

Extract the text, compare it with the final artwork, then count the corrected copy. OCR is a starting point, not a verified proofreading estimate.

1. Agree on what counts

Does the proofreader need characters with spaces or without? Decide whether repeated logos, contact details, captions and separate poster versions belong in the estimate. A counter measures text; it cannot decide the scope of your agreement.

If you have an up-to-date copy document, count that directly. Extraction from artwork is useful when only the layout remains, or when you need to check the final version rather than an earlier draft.

2. Prepare a readable final export

Use the final image or PDF, without the editor interface around it. A clear export is better than a blurred screenshot, especially for small print. Keep footnotes and contact details inside the frame.

Try selecting text in the PDF. Selectable text suggests a text layer exists, but does not prove that it matches the visible design. Hidden, outdated or incomplete layers still need checking.

3. Extract, then check every page

Open the image and PDF character counter. Add up to 10 files, choose one recognition language for the batch, and start processing. The combined limits are 50 MB and 20 pages; individual file and image limits are shown in the tool. Files are processed on your device.

PDF pages use available text layers first; pages without text go through OCR. If a layer does not match the artwork, enable forced OCR for the batch. This reads the visible page again, but does not guarantee accuracy. Process documents in different languages as separate batches. Mixed-language layouts need particularly careful review.

Compare headings, small print, numbers, apostrophes, contact details and the order of columns. Remove duplicates and fix omissions in the editable result: counts update as you edit. OCR may omit words or mistake decoration for letters. A run without errors is not proof that the text is correct.

4. Understand the counting convention

This tool replaces repeated spaces, tabs and line breaks with one space and removes leading and trailing whitespace. It normalizes Unicode and counts grapheme clusters rather than bytes. A letter with a combining accent is treated as one visible character.

Each page is counted separately. The total adds those page counts, without the page labels or separators inserted into the downloaded TXT report. Another editor may use different whitespace or Unicode rules: agree on a convention before comparing totals.

A small example you can check yourself

These English lines are a synthetic example, not a real poster or an OCR accuracy benchmark. After checking the text:

Page text With spaces Without spaces Words
Poster one 10 9 2
Poster two 10 9 2
Total 20 18 4

Count the checked page text, not report headings and separators. Here the batch contains 20 characters with spaces, 18 without spaces and 4 words.

5. Hand over checked copy, not just a number

  • Download the TXT report before clearing the page.
  • Include the final artwork and the number of pages you checked.
  • State whether spaces are included and list agreed exclusions.
  • Mark failed files or cancelled runs as a partial result, not a complete batch.

For billing or a contract, agree on the final amount with the proofreader using corrected text. Raw OCR alone is not a reliable basis for a fee.
